How to Use This Template Well

Check Your Notice Period First

Bylaws commonly require 10–30 days' written notice for annual meetings, and some states set statutory minimums and delivery methods. Date the notice accordingly — a defective notice can void the election held at the meeting.

Chase Quorum Before the Meeting, Not During

Include the proxy form with the notice and make returning it trivially easy. Most failed annual meetings die from missing proxies, not missing interest.
